What exactly is custom software?

It's software built around the way your organization actually works, instead of bending your operation to fit an off-the-shelf tool. If the thing you need doesn't exist yet, or the version that exists doesn't quite fit, we design and build one that does. That covers everything from a full platform to a single automation that quietly saves your team hours.

What does a custom project cost?

Every project is scoped and quoted up front as a fixed bid, so you know the number before any work starts. We price on the complexity of the problem, not on hours logged. It begins with a short discovery covering needs versus wants, your budget, and your timeline, and there shouldn't be any surprises about what we're doing or what it costs.

How soon will I get a quote?

Typically right in the scoping session. Once in a while a project needs a little more research before we can finalize the number, but that's the exception, and we'll tell you up front if so.

How long does a build take?

It depends on the complexity of what you're building, so we won't pretend there's a one-size answer. Before the work starts you'll have a proposed timeline alongside the fixed bid, and we deliver in sprints, so you see working software early rather than waiting on one big reveal.

How do you decide the price?

We use Requirements by Design. Before anyone writes code, we map exactly what the system has to do, what it doesn't, and how every part fits your operation. That's where the fixed bid lands, and we commit to the figure and estimate the timeline before the scoping session ends. We call it clarity before code.

What happens if the scope changes mid-build?

Real projects adapt. When something genuinely new comes up, we raise it in the open the day we see it, scope that one piece on its own in writing, and you decide before any work or cost is added. The original bid holds for everything we already agreed on, and all our projects run with full transparency.

Are there hidden costs?

No. The one time a new charge comes up is when you decide to add a feature that wasn't in the original scope, and even then you get a quote to review and approve before we start. You're always the one who says yes.

What if we're not the right fit?

We start with a short discovery. At the end you own a complete requirements document, ready to build from whenever you are, so even if we don't go further you leave with something valuable. You can also pause or stop between our two-week sprints; our contracts are written to let you. We only start a project once we're both confident it's the right one to build.

What it feels like to build with us.

Will we need to meet?

Yes. The only way to really understand your business and what the software has to do is to talk it through, so meetings are part of the process. They can be over video or in person, at your office or ours.

Do I really get a whole team?

You do. Before the first kickoff, you're assigned a dedicated Project Manager, Software Architect, Designer, Developer, and Quality Assurance Tester. All five disciplines work together on every build, so you're never leaning on one person.

How much control do we have over the project?

Complete control. Your Project Manager is your single point of contact and works closely with you to identify and document the requirements for every feature. If you ever need to pause or stop the work, our contracts include provisions to do exactly that.

How do we stay informed on progress?

Your Project Manager keeps you updated and is there for your questions throughout. On top of that we hold sprint meetings every two weeks to review what's been delivered and agree on what's next, so you're never guessing where things stand.

How do we get our organization ready to use it?

We build in time for your team to test the product thoroughly and get comfortable with it before go-live. We'll also coach the person championing the project so they know the system cold and can lead training inside your organization. We don't build your full team-training program for you, but we make sure your champion is ready to.

Can we talk to your existing clients first?

Absolutely. We work with some great organizations who are happy to share what the experience was actually like, and that tends to put a lot of first-time worries to rest. Just ask and we'll make an introduction.

After you launch

We build it, then we stay.

Do you support the software after it launches?

Yes, and it's the part we care about most. Our preference is a continual-improvement plan: the same people keep your system running, secure, and getting better for years, and while we're building together we fix bugs for free under our continual-improvement warranty. We become the long-term steward of the complex system your organization runs on.

What does a maintenance plan look like?

Most clients stay on a continual-improvement plan: the same team keeps the system running, secure, and improving, on a predictable scope you approve. While we're actively building together, bug fixes are covered free under our continual-improvement warranty. The plan is always optional, and the software is 100% yours the moment it's paid for, whether or not you keep us on.

Who owns the software once it's live?

You do, all of it. Our clients hold every right and license to the work we produce, at each step of the process. No matter where we stop, it's 100% yours.

How do you handle confidentiality?

Everyone at Counterpart is covered by a company confidentiality and non-disclosure agreement, so what you share with us stays with us. We're also glad to sign a mutual NDA.

Do you build HIPAA-compliant software?

Yes. We design and build HIPAA-compliant systems, and we treat privacy and security as a requirement from the very first day.

Do you build with AI?

Yes, where it genuinely earns its place. We build custom AI that fits a real problem, grounded in your own knowledge and context, and we run our own operations on exactly that kind of system every day. If AI is right for your project we'll show you where it adds real value, and if it isn't we'll tell you that too.
