Counterpart is seeking an administrative assistant to join our team for the summer! The administrative assistant is a non-exempt, hourly part-time team member and is the first point of contact for Counterpart. The administrative assistant’s role has two primary objectives: executive staff support and overall office management.

Responsibilities:

  • Open office daily
  • Answer phones and route calls/messages appropriately
  • Greet clients and guests
  • Manage inventory of office and kitchen supplies, place all supply and beverage orders
  • Coordinate and order Tuesday team lunches
  • Manage conference room schedules to avoid conflicts
  • Coordinate any needs for scheduled meetings as requested
  • Maintain office appearance
  • Ensure conference rooms are prepared for meetings:

o   Tables are clean, furniture in place, candy dishes filled, lighting ready to welcome guests, whiteboards are clean

  • Serve as main contact with office park for building issues/requests
  • Assist with coordination, planning and prep of internal events
  • Provide administrative support to other team members as needed

 

Required Skills and Experience:

  • Excellent written and verbal communication
  • Work cooperatively with staff as well as clients
  • Demonstrated ability to work independently and make key decisions
  • Proficient with MS Office and Gmail/Google drive
  • Willingness to accept direction and be a team player
  • Confidentiality, timeliness, flexibility and dedication
  • Present themselves professionally

Hours: Monday-Friday, 8:45am – 2:45pm

Reports to:  CFO (Other individuals of the organization will assist in directing and managing this position.)
